Job Responsibilities

HR Recruitment & Selection

  • Providing internal or external circular for recruitment of PBF and its entities’ staff, shortlisting CV, arranging interview, providing all related

letters at the time of appointment

  • Maintaining staff files encompassing updated CV, offer/appointment letters, annual appraisal, confirmation/increment letters, leave records

etc with highest level of confidentiality.

  • Maintaining staff attendance and leave records
  • Supervising all the activities of the support staff related to administration.


Administrative and logistic support to Project and Head office

  • Assisting CEO in coordinating Foundation’s activities with those of other agencies to ensure a rational allocation of available resources.
  • Maintaining Master File on official letter/memo
  • Preparing FMC/EC/Advisory Committee Meeting notice; making distribution of those and making necessary arrangements of those.
  • Maintaining all internal and external appointments of CEO, PBF.
  • Coordinating all activities related to office management and documentation as per the direction of CEO
  • Providing all necessary administrative/logistical support to the PBF entities’ admin departments based on their needs.
  • Providing assistance to all other departments (Finance & Accounts dept., Programme dept.) as and when required.

Procurement

  • Processing sequentially all procurement (of capital items/consumable/stationary) related works of PBF/entities following the guidelines of

Facility Management Division of Prime Bank/PBF.

  • Arranging Purchase Committee meeting once in a month for procurement of required items of PBF/entities
  • Updating list of vendors/enlisting new vendors based on need

Vehicle Management

  • Maintaining PBF/entities’ vehicles and keeping their documents updated/renewed.

Other work

  • Communicating; maintaining liaison and collecting information as per CEO’s instruction
  • Helping ESP Team at the time selection of new batch by taking part in the conduction of PBF Office based Validation Exercises of the

preliminarily selected potential candidates for ESP awards.

  • Taking initiative to prepare new agreement/renew agreements for premises/building used by PBF entities as and when required in

consultation with the legal relevant Divisions of Prime Bank.

  • Performing any other tasks as assigned by CEO.

Requirements

  •  Master’s in any discipline
  • 5+ years of working experience in the field of Admin/HR/Logistical Managements
  • Computer literacy
  • Experience in working with development organizations will be an advantage.
  • Ability to work with higher management in organizing, planning, and achieving organizational  goal.

Head of Finance & Accounts

Job Responsibilities

Budgeting and its monitoring:

  • Preparing and submitting the Annual Budget for PBF Programme Management and Administration (PMA) and its different entities/projects

in line with the approved budgets.

  • Assisting the CEO, PBF in coordinating the allocation of Foundation`s resources in accordance with approved strategies, plans and budgets.
  • Ensuring that Foundations funds are executed in timely, economic and professional manner in accordance with Foundation`s principles and

policies, as well as our country`s laws and customs.

  • Providing need based backup support to the accounts people employed/deployed for different entities/projects supported by PBF for putting

a sound financial/accounting system in place and its smooth operation.

  • Developing the capacity of finance/accounts people of different entities/projects supported/run by PBF.
  • In consultation with the CEO, coordinating the periodic audits of Foundation`s entities/projects.
  • Management of Foundation/its entities’ fund and investment of the same in a manner which protects the interest of the Foundation/its

entities.

  • Management of Prime Bank Foundation and its entities’ Staff Provident Fund and investment of the same in a manner which protects the

interest of the subscribers of the fund.

  • Management of PBF Staff Gratuity in line with organizational policy.
  • Support in annual plan monitoring.
  • In consultation with the CEO, PBF, monitoring of compliances of financial/accounting policies of Foundation and its entities/projects.

Reporting:

  • In Consultation with the CEO, PBF, maintaining close coordination with FAD of Prime Bank Plc in maintenance of Foundation`s resources.
  • Ensuring and coordinating a continued upkeep and use of efficient internal financial and progress monitoring and reporting systems.
  • Submitting financial reports on a monthly/quarterly basis, or more often as required by the circumstances, to the CEO about the

entities’/project`s incomes/expenses.

  • Coordinating the preparation and submission of the financial part of the entities’/project’s annual reports and audited annual accounts of the

entities/projects for approval by the FMC.

  • Overseeing the submission of all required financial reporting from the entities/projects supported/run by the Foundation.
  • Planning and implementing occasional reviews of entities’/project`s financial performance upon request by the CEO as and when needed.
  • Any other tasks/jobs as assigned by the CEO, PBF.

Requirements

  • Master’s in Finance/Accounting, CA CC or partly qualified
  • 10+ years of experience of which 5+ years of management experience
  • Familiarity with accounting software such as Tally
  • Very good financial/forecasting analytical skill
  • Expertise in bank reconciliation, bookkeeping, and cash flow management
  • Budgeting and risk management experience
  • Leadership and management experience
  • Self-assured in presenting results to a group
  • Skills in strategic thinking, planning, and problem-solving creativity
  • Ability to work with higher management to organize, plan, and achieve financial goals for the organization.

Programme Officer/Senior Programme Officer

Job Responsibilities

Planning and budgeting:

  • Facilitating the preparation of annual operation plan (AOP)/business plan (BP) and quarterly work plan based on AOP/BP with active

participation of the Core Team Members of the programmes/entities as one of the members of PBF Oversight Team.

  • Attending  the PBF entities’ Core Team Members meeting arranged monthly/quarterly and based on need to review performances/activities

against monthly plans/targets.

  • Monitoring the quarterly work plan, AOP/BP on a regular basis and the targets set against different KPIs of the programmes/entities.
  • Ensuring that programmes/entities activities are implemented in compliance with the principles/policies already formulated/approved by

PBF.

  • In consultation with CEO, PBF coordinating the periodic evaluation of the PBF programmes/entities.


Reporting:

  • Submitting reports on a monthly/quarterly basis, or more often as required by the circumstances
  • Facilitating the preparation and submission of programmes/entities annual reports and audited annual accounts (if any) of the

programmes/entities for approval of the competent authority of Foundation

  • Working closely with the concerned staff of PBF entities, the eye hospital in particular, to partner with different NGOs/Corporate/Institutions

for a synergy.

Administrative:

  • Providing mentoring and monitoring support to PBF entities
  • Chairing PBF Purchase Committee and ensuring that relevant works are done in line with the rules and guidelines

Additional:

  • Providing extensive support to the ESP Team at the time of inclusion of new batch.
  • Helping the PR, Documentation, and Communication Officer of PBF in the preparation of reports for Bangladesh Bank, Prime Bank

and any other stakeholders as needed.

  • Providing support to Admin Officer, PBF as and when required in different HR and Administrative issues.
  • Any other professional job as assigned by the CEO, PBF.
  • Handling PBF owned land related issues as the Coordinator of three-member team
